Projects is the operational command center for general contractors, specialty trade contractors, and commercial project managers. Every active job features a dedicated project workspace unifying scheduling, field documentation, workforce management, financial progress billing, and real-time job-site collaboration in one platform.
Every project includes an integrated Job Site Portal accessible via unique project web link or printable QR code posters displayed at the job site entrance or field trailer. Trade workers, subcontractors, and site visitors simply scan the QR code with their mobile phone to check in and out — requiring zero app downloads or account logins. Superintendents get an instant, live headcount dashboard of active personnel on site categorized by trade, providing audit-proof attendance logs for safety compliance and payroll verification.
The Job Site Portal also powers direct field-to-office communication. Trade foremen can message project superintendents directly and attach PDF documents — such as equipment cut sheets, architectural submittals, safety data sheets (SDS), and inspection permits — alongside site photos. In addition, an open Site Discussion Forum provides a community space for trades to coordinate concrete pours, crane access, delivery gates, and inspection windows, keeping the entire job site in sync.
The Gantt Schedule tab provides an interactive timeline where project milestones and tasks are planned with start/end dates, dependencies, and assigned crews. Project managers can fluidly toggle between a full Gantt timeline and an agile Kanban task board to oversee day-to-day progress.
Daily Logs allow supervisors to record daily site events — subcontractor headcounts, weather conditions, safety remarks, work descriptions, and timestamped photo logs. When design clarifications arise, RFIs (Requests for Information) are created and tracked with formal response deadlines and linked attachments.
Project finances are managed through the Scope tab featuring a Schedule of Values (SOV) tied to contract billing milestones. Progress invoices can be generated directly from completed milestones into Book Keeping, while the Planview tab lets teams upload architectural floor plans and drop actionable task pins at exact blueprint coordinates.
- Frictionless QR Code Worker Sign-In: Trade subcontractors and laborers scan the job-site poster to check in and out instantly with no app downloads required.
- Live On-Site Headcount Tracking: Superintendents maintain continuous visibility over active trades, headcounts, and worker safety on site in real time.
- Direct Trade Messaging & PDF Document Sharing: Field trades can message supervisors directly, attaching PDF submittals, cut sheets, and inspection photos with automatic company storage tracking.
- Community Site Forum: Broadcast site announcements, concrete pour schedules, crane availability, and safety notices to every trade on the project.
- Interactive Gantt Scheduling: Keep complex multi-phase projects on schedule with drag-and-drop task bars, predecessor dependencies, and assigned trades.
- Dispute Protection with Daily Field Logs: Record subcontractor counts, weather conditions, safety notes, and timestamped photo records that protect your business.
- Streamlined AIA / SOV Progress Billing: Manage a Schedule of Values with milestone-based progress billing, retainage tracking, and approved change orders.
- Architectural Planview Task Pins: Drop color-coded task, punch-list, and safety pins directly onto uploaded drawings so field crews know exactly where to work.
Project Dashboard — Overview & Setup
- Navigate to Projects to see the full project directory listing.
- Click 'Create Project' to add a new job — enter the project name, client, site address, start date, and target completion date.
- Click any project row to open the project detail view. The overview panel shows current status, budget summary, and upcoming milestone dates.
- The tab bar at the top of the project detail switches between Schedule, Logs, Scope, Expenses, RFIs, Planview, Files, Notes, and Team sections.
- Tip: Assign a project manager, site supervisor, and subcontractors in the Team tab before starting.
Schedule Tab — Gantt Timeline & Task Kanban
- Open a project and click the Schedule tab.
- Toggle between Gantt and List/Kanban view using the view selector buttons.
- In Gantt view, click 'Add Task' to create a new milestone or work task. Set the start date, end date, and assigned worker.
- Drag the task bar left or right to shift dates. Drag the right edge to extend or shorten duration.
- Draw dependencies between tasks by connecting task bars — this ensures successor tasks don't start before their predecessors complete.
- In Kanban view, tasks appear as cards organized by status columns (To Do, In Progress, Done). Drag cards between columns to update daily progress.
- Tip: Set baseline dates when the schedule is approved so you can compare planned vs actual durations as the project progresses.
Logs Tab — Daily Field Reports & RFIs
- Open a project and click the Logs tab to see the daily log archive.
- Click 'Add Daily Log' to create a new report entry. Select the date and enter the subcontractor counts for each trade on site.
- Record weather conditions, safety remarks, and a description of work completed that day.
- Upload site progress photos by clicking the photo attachment button — images are timestamped and permanently linked to the daily log entry.
- To create an RFI, click the RFIs sub-tab and click 'Create RFI'. Describe the question, attach relevant drawings, set a response deadline, and assign the RFI to a designer or client contact.
- Tip: Consistent daily logs are your best protection in contract disputes.
Scope Tab — Progress Billing & Change Orders
- Open a project and click the Scope tab to see the Schedule of Values (SOV).
- The SOV breaks the project contract into billing milestones (e.g., Mobilization 10%, Framing 25%, Rough-In 30%, etc.).
- Click on a SOV line item to mark it as complete when that phase of work is finished.
- Click 'Issue Progress Invoice' to generate an invoice for the completed SOV percentage — it flows to Book Keeping automatically.
- To add a change order, click 'New Change Order', describe the scope addition or reduction, and enter the adjusted value.
- Tip: Always document change orders before the work starts — client approval on a change order is the legal basis for billing the additional scope.
Planview Tab — Drawing Pins & Task Markers
- Open a project and click the Planview tab.
- Click 'Upload Drawing' to load a site plan, floor plan, or building layout PDF or image.
- Once the drawing loads, click 'Add Pin' and click anywhere on the drawing to drop a task marker at that location.
- Fill in the pin detail form — task type, description, severity level, and assigned worker.
- All active pins display on the drawing as color-coded markers. Field teams can view the plan and see exactly where each open task is located.
- Click any existing pin to update its status, add progress notes, or resolve and close it.
- Tip: Use different severity levels to distinguish between safety issues, punch list items, and active work tasks.
Job Site Portal — QR Attendance & Real-Time Headcounts
- Open any active project and navigate to the 'Site Portal' configuration tab.
- Enable the Job Site Portal and set an optional security PIN or leave public for frictionless field access.
- Click 'Print QR Poster' to generate a branded, printable job site sign with your company logo and project-specific QR code to hang at the site gate or job trailer.
- When trade workers, subcontractors, or inspectors arrive on site, they scan the QR code with their mobile smartphone camera — no app installation or account needed.
- Workers enter their name, mobile phone number, and trade or company to check in. Check-in timestamps and GPS locations are logged automatically.
- Superintendents view the live 'On-Site Now' dashboard in TrueScope to see exact headcounts broken down by trade and subcontractor in real time.
- Tip: The digital attendance log provides an indisputable audit trail of subcontractor hours on site to verify billing and defend against delay claims.
Site Portal — Trade Messaging, Community Forum & PDF Attachments
- Subcontractors and field workers open the Job Site Portal on their phone to access the 'Site Messages' tab.
- Send private direct messages to the project superintendent regarding site access, trade handoffs, or urgent questions.
- Attach PDF documents (such as equipment cut sheets, submittals, SDS safety sheets, or permits) and high-resolution site photos directly from mobile.
- All attached files are securely linked to the project and tracked toward company storage quotas for billing transparency.
- Switch to the 'Site Forum' tab to view public job-site announcements, safety bulletins, and open coordination discussions visible to all trades working on the project.
- Superintendents receive instant notifications when messages or forum posts are created and can reply directly from the main TrueScope app.
- Tip: Use the Site Forum to announce concrete pour times, crane operating windows, and gate closure schedules so every trade stays informed.
